Definition
NIGHTMARE PRINCE: The owner of the server (Marwan). Holds ultimate authority and responsibility for the server’s structure, moderation system, and overall integrity. Ensures fairness, resolves disputes, and oversees all admins and moderators.
Watcher: Support team members of the server. Responsible for assisting members in tickets, helping resolve conflicts, and providing guidance while maintaining a neutral and professional approach within the Vault. They represent the first point of contact for member support and community wellbeing.
Shadow Watcher: Moderators of the server. Responsible for enforcing rules, assisting members, handling reports, and maintaining order within the Vault. They represent the standards and expectations of how the server is like.
Gravekeeper: Administrators of the server. They oversee moderators, ensure fair enforcement of rules, justify moderation actions, and assist in higher-level decisions. They also require approval from the NIGHTMARE PRINCE for major structural changes. They represent the standards and expectations of how the server is like and represents the owner by: Authority Representation, Judgment & Fairness, Enforcement of My System, Decision-Making Standard, and Trust Extension.
Vault Architect (Technical Admin): A volunteer technical administrator responsible for maintaining the server’s structure, permissions, and technical stability. Vault Architects assist Gravekeepers, manage community channels, and ensure that all structural and technical actions align with server rules and the NIGHTMARE PRINCE’s standards. Certain sensitive permissions are limited to protect logs, evidence, and critical server systems.
Citizens of the Realm: Verified members of the server (via captcha). They are trusted participants who can engage fully in the community, report issues, vote on moderation performance, and contribute to server activities. This is to prevent unauthorised bots. They won't be able to see the “verify” and the “🕸️・whispers-of-the-lost” channel
Lost Souls: New or unverified members who have not yet completed verification. Their access is limited until they become Citizens of the Realm with only one channel that they can talk in which is called “🕸️・whispers-of-the-lost” and isolated from the rest of the server for safety reasons, but the welcome category, and Marotube scream mega vault category (my latest Videos) are only to see/read and they can’t type in. (verification via captcha)
Moderation Action: Any action taken by a Shadow Watcher or Gravekeeper to enforce rules, including warnings, timeouts, kicks, and bans.
False Accusation: A claim made against a member, moderator, or admin that is untrue or unsupported by evidence. Can be classified as minor or severe depending on the nature of the claim but the consequence is always removal from the server whether it's a kick, temporary or using the perm ban policy.
Severe False Accusation: A false claim involving serious misconduct such as discrimination, threats, NSFW violations, etc. These are treated as high-risk and result in immediate use of perm ban policy to protect our members, mods, and admins.
Evidence: Verifiable proof used to assess a situation. This includes logs, screenshots, screen records, and live screen sharing during private VC sessions.
Live Evidence: Real-time verification of claims through screen sharing in a private VC to ensure authenticity and context.
Risk Assessment: The process of identifying potential issues, verifying evidence, and determining appropriate actions to prevent harm to the server, its members, or its leadership.
Incandescent Designation (ID): The Discord tag assigned to each Shadow Watcher, serving as a unique identifier for their authority and accountability. Members can use it to verify which moderator is handling a case, ensuring all actions are traceable. The Discord tag can be found under the user’s display name.
Kick: in Vaultverse moderation standards a kick is like a serious warning to the user and by continuing it can lead to temporary/use of perm ban policy
Relevant Evidence: Any proof that directly relates to the reported incident or appeal and helps confirm or dispute the claim being made. This may include logs, screenshots, screen recordings, or live verification, provided they clearly show the context and are not altered or misleading. Evidence that is unrelated (e.g showing evidence for a different case), will not be considered relevant.
Overview
This document provides a detailed, descriptive guide for managing the Vaultverse Discord servers. It combines moderation procedures, risk assessment, escalation policies, and evidence protocols with thematic, immersive guidance for mods and admins.
Support team, moderators, admins, and technical admins represent the server and, in the case of admins, the owner (the NIGHTMARE PRINCE). Every action they take reflects the server's standards and the ruler's authority, reinforcing the immersive Vaultverse experience.
The Vaultverse Moderation & Risk Assessment Framework is how the rules will be when the server grows up to 100+ members. With only 13 members right now, I take the role of Watcher, Shadow Watcher, Gravekeeper, and Vault Architect. And rule 1-9 is enforced by me and auto-mod bots.
Applications for the Support Team will open once the server hits 15-20 members
Applications for Mod will open once the server hits 20-25 members
Applications for Admins will open once the server hits 50 members
Applications for Technical Admin will open once the server hits 100 members (There will only be 3 Technical Admins in the server for me to be able to manage if something goes wrong)
NOTE: All volunteer roles, including Watchers, Shadow Watchers, Gravekeepers, and Vault Architects, are open to both teens and adults. The Vaultverse servers are designed for a community of teens and adults, ensuring a safe and inclusive environment for all members while providing opportunities to participate in moderation and support roles.
DofE Volunteers Programme
The DofE Volunteers programme allows members of the server to gain real-world volunteering experience while contributing to the Vaultverse community. This programme is open to both teens and adults and is designed to be low-risk, accessible, and skill-building.
Role & Responsibilities
Members who join will be assigned the DofE Volunteer role to recognize their participation.
DofE Volunteers are encouraged to begin within the Watcher (Support Team) role, as it provides a low-risk environment focused on support, communication, and conflict resolution.
Volunteers may request progression to higher-responsibility roles, such as Shadow Watcher (Moderator). However, due to the increased authority and potential consequences associated with moderation powers, this path is approached with caution.
Responsibilities are structured to be safe and manageable, providing experience without exposing volunteers to high-stakes moderation tasks.
Perks
Volunteers in the support team receive a 20% discount for support team or 25% discount for Mods on Vaultverse merchandise, aligning with common real-world volunteer discounts offered to DofE participants by outdoor retailers.
The role provides recognition within the server while allowing participants to develop practical skills such as communication, problem-solving, and teamwork.
Joining the Programme
To participate, members must create a ticket in the DofE Volunteers channel expressing interest.
A simple statement such as “I’d like to join the DofE Volunteers programme” is sufficient. No detailed reason is required.
Current duties will be briefly noted to ensure a smooth handover if needed, and the role will then be assigned.
Supervision & Accountability
Small groups of volunteers can be directly supervised by the server owner or designated staff.
If the programme expands, additional moderators may be assigned to supervise and support volunteers.
Volunteers remain accountable to server rules and moderation standards, but the low-risk nature of their role limits consequences to temporary or permanent removal of the role only (not bans), except in cases of direct rule violations.
Real-World Alignment
The programme mirrors real-world DofE volunteering, providing a structured environment for skill-building, accountability, and recognition.
Volunteers gain experience in a safe, supportive environment, preparing them for future roles in both virtual and real-world communities.
NOTE: This programme will be available once there’s a lot of support team needed and once the owner of the server turns 18 years old, this is to allow the owner to be the assessor and according to DofE the assessor needs to be an adult to sign off the completion of the activity.
Pillars of Vaultverse Community
Pillar of Respect – “Honour the presence of every soul in the Vault, for kindness binds the realm together.”
Rule 1: Be respectful: Treat others with kindness, courtesy, and respect. Harassment, hate speech, discrimination, or any form of offensive behaviour will not be tolerated.
Rule 4: No attacks on protected characteristics which are Age, Disability, Gender Reassignment, Marriage/Civil Partnership, Pregnancy/Maternity, Race, Religion/Belief, Sex, and Sexual Orientation. or bullying: Keep disagreements civil; do not target others with harassment.
Rule 5: Respect privacy and confidentiality: Do not share private info without consent; the shadows of the Vault watch all.
Pillar of Order – “Chaos is the enemy; order preserves the Vault’s sanctity.”
Rule 2: No spamming: Avoid flooding chat or sending irrelevant content.
Rule 9: Use channels as intended: Post in proper channels; if unsure, ask a Shadow Watcher.
Pillar of Purity – “The Vault guards its realms; what is unworthy must not cross its threshold.”
Rule 3: Keep discussions appropriate: No NSFW or adult content at all
Rule 8: Use appropriate language: Maintain a friendly, inclusive environment.
Pillar of Integrity – “Trust is the coin of the realm; those who break it risk exile beyond the Vault.”
Rule 6: Follow Discord’s Terms of Service: Abide by rules beyond the Vault.
Rule 7: No advertising or self-promotion outside approved areas: Respect the Vault’s boundaries.
Rule 10: Verify before reporting, Ensure you check properly before reporting issues. False or careless reports waste staff time.
Staff Training Phase – “Trial of the Watchers”
All new Watchers, Shadow Watchers, Gravekeepers, and Vault Architects must complete a structured training phase before receiving full authority. All training would be done on a separate server that looks exactly like the original server so that the original server is safe
This ensures consistency, fairness, and understanding of the Vault’s standards.
The cases will be taken from 6+ months old cases that happened in the real server

“Power is not given freely in the Vault. It is tested, observed, and earned.
Roles & Hierarchy
Members: Participants who join as "Lost Soul" and, upon verification via captcha, gain the "Citizen of the Realm" role. Members with the "Citizen of the Realm" role can report incidents, participate in votes, and contribute to contests.
Watchers (Support Team): Custodians of member assistance, responsible for guiding members through tickets, resolving conflicts, and ensuring support interactions are fair and respectful. They act as the embodiment of the Vault’s commitment to help and community care.
Shadow Watchers (Mods): Guardians of the server’s order, responsible for enforcing rules, assisting members, and monitoring behavior. They act as the embodiment of the Vault's standards.
Gravekeepers (Admins): Oversight figures representing both the server and the NIGHTMARE PRINCE. They monitor mods, ensure fairness, enforce higher-level rules, and approve structural changes.
Vault Architect: A technical admin responsible for server structure, permissions, and stability, supporting Gravekeepers while protecting critical systems.
NIGHTMARE PRINCE (Owner): Supreme authority of the Vault. Oversees all moderation, ensures server integrity, and is the ultimate arbiter of disputes and consequences.
Core Principles
Representation as Responsibility
Mods/Admins are accountable for every decision.
Vaultverse-style: "To represent the realm is a burden few can carry. If you feel this responsibility is too great… turn away now."
Accountability
All moderation actions must be justified and traceable.
Logs from Sapphire, Wick, or carl-bot are essential for reviewing actions, they log things like bans, kicks, mutes, warnings, channel permissions changes, role added/removed, channel creation/deletion, category creation/deletion, deleted messages, and role permissions changes.
Justifications must align with server rules and available evidence. Invalid, vague, or dishonest reasons are treated as failure to justify.
Reasonable justification - a reason that aligns with the punishment. Example: a ban with the reason of "annoying" isn't a valid reason for the ban
Community Trust
Members are encouraged to report unfairness, rudeness, favoritism, or rule violations.
Reports are treated with seriousness, transparency, and fairness.

Self-promo outside designated channels: Warm warning → Timeout if repeated
Vaultverse-style consequence phrasing: "Those who falsely accuse a Watcher, Shadow Watcher, Gravekeeper, Vault Architect, or a fellow Citizen of the Realm of severe grave misdeeds shall be erased from the Vault forever, for such severe lies endanger the Vault’s sacred halls, its Citizens’ trust, and its ruler’s authority."

Pillar of Accountability – “Every action echoes through the Vault; none may pass unseen.”
All moderation actions must be logged and justified.
Decisions are reviewable by higher staff or the NIGHTMARE PRINCE.
Failure to justify actions triggers consequences for the mod or admin.
Pillar of Protection – “The Vault shields its inhabitants; no harm shall pass unguarded.”
Members, Watchers, Shadow Watchers, Gravekeepers, and Vault Architects are protected from abuse, false accusations, and trolling.
Staff must act to prevent and address attacks or harassment swiftly and fairly.
Pillar of Review – “Justice in the Vault is measured; no plea shall go unheard or unchecked.”
Reports, appeals, and disputes are carefully examined with evidence.
Live verification via private VC or other secure methods is used when needed.
Decisions are based on facts, fairness, and server rules.
Pillar of Limits – “Power is granted with boundaries; the Vault trusts those who respect them.”
Roles, permissions, and cooldowns exist to prevent misuse of authority.
Mods and admins are constrained to preserve trust, transparency, and integrity.
Violations of limits have clear, enforceable consequences.
Moderation Approach
Standard moderation actions are handled quickly based on clear rule violations.
Full investigation procedures (evidence review, live verification, and detailed assessment) are only initiated when a report, dispute, or high-risk situation arises.
Invite Link Reporting Protocol
Before accepting a report about an invite link:
Ask the member: “Did you actually preview the invite link before reporting it?”
Verify intent: Ensure the member isn’t reporting just because of the link’s text or suspicion.
Evaluate evidence: Only take action if the link was accessed or verified as inappropriate with screenshots or live evidence .
Escalate if needed: If the member didn’t preview the link, provide a gentle reminder about proper reporting procedures.
“preview the invite link” means seeing the banner which 99%+ of the time does not show explicit content and the name of the server without actually joining it which keeps the member safe while verifying if the invite link is related to NSFW. by previewing it does not expose the member to explicit content. The members just need to check the name for phrases like “NSFW”, and “18+” to verify the invite link as NSFW.
This protocol is if it take place outside the server (e.g direct messages, whatsapp, and etc,) because if it happens inside the server sapphire would have deleted it as soon as its sent in a channel and will be logged with who sent it so a member would not have to involve themselves and the mod/admin will permanently ban the user who sent NSFW invite links
Vaultverse-style phrasing:
“Those who cry foul without first peering into the shadows of the invite link risk being marked as reckless in the Vault. Only verified transgressions shall be punished.”
Escalation Guidelines
Generic rudeness: Ignore or timeout (only escalate for repeated behavior)
Minor false accusations:
First offense → Kick for the member reporting
Second offense → Temporary Ban for the member reporting
Third offense → use of Perm Ban Policy for the member reporting
Severe false accusations (attacking protected characteristics, sharing NSFW, threats, etc.): Using the Perm Ban Policy except for sharing NSFW content/links which will be Using the Perm Ban Policy but permanent ban on the 3rd offence
NSFW invite links: Using the Perm Ban Policy put permanent ban on the 3rd offence

⚖️ Vaultverse Serious Violation Escalation System - Perm Ban Policy
For rule violations that would normally result in a permanent ban, the Vaultverse applies a structured escalation system designed to balance accountability with rehabilitation.

For rule violations that would normally result in an immediate permanent ban, the Vault applies the following escalation system:
1st Offence → 1 Year Temporary Ban - (1 year total)
2nd Offence → 2 Year Temporary Ban - (3 years total excluding time between each offence)
3rd Offence → 3 Year Temporary Ban - (6 years total excluding time between each offence)
4th Offence → 4 Year Temporary Ban - (10 years total excluding time between each offence)
5th Offence → Permanent Ban
Escalation is based on repeated behaviour within a 3-year window, not total accumulated punishment time.
Independent Ban Cycles
Each offence results in its own ban period.
Ban durations are not continuous and do not merge into a single sentence.
After a ban ends, the member may return and is evaluated based on their behaviour from that point forward.
Escalation only occurs if a new violation happens after returning and in under 3 years.
⏳ Conduct Window (3-Year Rule)
Offences are tracked within a 3-year conduct window.
If a member commits another offence within this period, escalation continues to the next level.
After 3 years without further violations, the offence level resets.
Past behaviour remains recorded for context only, not escalation.
Bot & Automated Account Policy
Automated, bot, or spam accounts are not eligible for the escalation system.
Such accounts receive an immediate permanent ban.
Vaultverse-Themed Guidance
"To defy the Vault once may be forgiven, but each repeated offence deepens the shadow upon your soul — the years themselves shall bind you, until on the fifth, mercy is lost and exile becomes eternal. The Vault watches, and it does not forget."
Explanation of Consequences for Mods/Admins/Technical Admins Acting Outside Boundaries
Shadow Watchers/Gravekeepers/Vault Architects are entrusted with specific powers and responsibilities when reviewing reports or handling evidence. These boundaries exist to protect members’ privacy, ensure fairness, and maintain the integrity of the Vault.
If a mod/admin/technical admin attempts to go beyond these boundaries—such as requesting private information from a member or requesting to show other things from the member’s screen in VC which is unrelated to the case or acting outside the approved evidence protocol—they are breaking Rule 5 from Pillars of Vaultverse Community: The Pillar of Respect. Consequences are progressive to give a chance to correct behavior but escalate if the pattern continues:
First Offense – Kick: A serious warning signaling that the mod has overstepped. This serves as a clear notice that their actions were unacceptable.
Second Offense – 1 Month Temporary Ban: The mod is temporarily removed from the Vault to reflect on their misuse of authority. The 1 month ban is because of the severity of the violation.
Third Offense – Perm Ban Policy: The mod is permanently removed from the Vault, as repeated violations show disregard for the rules and trust of the community.
Members who receive an unjust order from a mod, admin, or technical admin have the right to refuse it and report the mod/admin/technical admin. Members have the right to ask them for their Incandescent Designation(ID) (Discord tag) to ensure the report reaches the correct person, and they are required to give when asked for in these situations. The mod/admin/technical admin will be removed from the case they were handling and replaced by another mod/admin. Once the original case is resolved, the mod/admin/technical admin who overstepped will be investigated, and the new report against them will determine the outcome.
Vaultverse-style note:
“Members who encounter an unjust order from a Watcher, Shadow Watcher, Gravekeeper, or Vault Architect are empowered to refuse and report it. Members may demand the Watcher/Shadow Watcher/Gravekeeper/Vault Architect’s Incandescent Designation, and the guardian is bound to provide it, so the shadows know whom to hold accountable. The guardian shall be removed from the case they were investigating and replaced by another. Once the original case is resolved, the guardian shall face scrutiny for their overstepping, and the new report against them shall determine their fate. The Vault watches all, and no guardian is above its laws.”
Admin & Mod Oversight
Admins monitor mod actions and provide justification for all consequences.
Members vote on support staff and mod performance, the winning support staff and mod gets 30% off merchandise and a role; admins and the owner ensure fairness.
Admins and technical admins are subject to consequences from the NIGHTMARE PRINCE for failing rules or abusing power.
Admin Role Permissions & Limits
Gravekeepers (Admins) are entrusted with great responsibility. They oversee moderators, ensure fairness, and represent both the server and the NIGHTMARE PRINCE. However, to preserve the integrity of the Vaultverse, certain permissions are deliberately limited. This ensures transparency, verifiability, and protection of critical evidence.
Role Permissions:
Gravekeepers have nearly all administrative powers across the server. Permissions enabled include oversight, role management, message management in specific channels, channel creation, and moderation powers in approved areas.
Permissions explicitly disabled:
Manage Channels – Prevents altering channel structure without owner approval.
Manage Server – Ensures Gravekeepers cannot change server-wide settings.
Manage Messages – Disabled in log and evidence channels to protect records.
Manage Threads and Posts – Disabled in log/evidence channels to preserve context.
Use External Apps – Prevents unauthorized integrations that may affect server security.
Special Notes:
Gravekeepers can manage messages and threads in community categories, except in leaderboard channels, ensuring normal moderation while protecting evidence. This is to prevent deletion of evidence and deletion of leaderboards
Manage Nicknames is enabled selectively to handle inappropriate member nicknames.
Reason for Limits:
Certain permissions are restricted to prevent admins from accidentally or intentionally deleting logs, evidence, or critical server structures. This ensures that moderation actions remain verifiable, the reporting system stays reliable, and the integrity of the Vaultverse is preserved.

Vaultverse Principle:
Admins are granted “Super Mod” powers—but with boundaries. These boundaries safeguard accountability, protect members’ trust, and ensure that every action in the Vault can be traced, reviewed, and justified. Misuse or unjustified actions are subject to review and consequences by the NIGHTMARE PRINCE.
Member Reporting Guide – “How to Speak to the Vault”
The Vaultverse relies on its Citizens to help maintain order. Reporting is a responsibility, not a weapon. When used correctly, it protects the realm. When misused, it disrupts it.

Members should report:
Rule violations (harassment, discrimination, NSFW, spam, etc.)
Abuse of power by staff
Suspicious or harmful behaviour
Verified inappropriate invite links
Do not report:
Personal disagreements that remain respectful
Situations without any form of evidence
Assumptions or guesses without verification
📂 What to Include in a Report
To ensure fairness and efficiency, every report should include:
Who was involved (usernames + Incandescent Designation if staff)
What happened (clear, honest description)
When it happened (approximate time)
Evidence (screenshots, recordings, or logs)

Reporting & Resolution Workflow
Member submits a report.
The NIGHTMARE PRINCE or a moderator/admin not involved in the accusation checks logs for evidence.
If evidence is unclear, request live verification via private VC with screen share or screen record at that time if possible.
Speak to both the reporting member and the accused mod/admin to gather full context.
Decide on consequences based on escalation rules and severity.
Document the resolution in logs for accountability.
Troll Prevention & False Accusation Policy
The Vaultverse moderation system is designed not only to enforce rules, but also to protect the community and staff from disruption, manipulation, and misuse of the reporting system.
Troll Prevention
Trolling behaviour often involves:
Making false or misleading reports
Attempting to provoke reactions from moderators
Wasting staff time through repeated or baseless claims
To prevent this, the Vault enforces:
Evidence-based investigations (logs, screenshots, screenshare)
Structured reporting and verification processes
Monitoring of repeated invalid or misleading reports
While a single misunderstanding is treated with leniency, repeated “misunderstandings” or invalid reports may be treated as misuse of the reporting system, especially if they form a pattern that wastes staff time or disrupts moderation. But misunderstandings will not be accepted if the member claim to misunderstand severe things like physical threats, and attacks on protected characteristics (Age, Disability, Gender Reassignment, Marriage/Civil Partnership, Pregnancy/Maternity, Race, Religion/Belief, Sex, and Sexual Orientation), this is to prevent misuse of misunderstanding claims.
This ensures that:
Moderators and admins can focus on real issues
Trolls cannot exploit the system for attention or disruption
The reporting system remains efficient and reliable
Defamation & Malicious False Accusations
The Vaultverse treats intentional false accusations and defamatory behaviour as severe risks to both community safety and individual wellbeing.
False accusations may also be considered a form of defamation in some situations, as they involve spreading harmful false statements about another person. In serious cases, the affected individual may choose to pursue legal action against the person making the false claims if it affected their reputation very negatively. Because of this, the Vaultverse treats intentional false accusations as severe violations that can harm individuals, damage trust, and disrupt the integrity of the community.
Knowingly spreading false claims about members, Watchers, Shadow Watchers, Gravekeepers, Vault Architects, or the NIGHTMARE PRINCE may:
Damage reputations
Create distrust within the community
Cause emotional or social harm
Undermine confidence in the moderation system
Escalate conflicts beyond the Vault itself

Watchers Consequences
Watchers play a crucial role in assisting members and maintaining smooth communication within the Vaultverse servers. This includes:

Reporting incidents or rule violations honestly and promptly.
Escalating issues to Shadow Watchers or Gravekeepers when necessary.

Minor Actions
Failure to provide accurate guidance or incomplete reporting: 1 day without Watcher privileges.

Repeated inaccurate guidance or failure to escalate important issues: 3 days without Watcher privileges.
Severe Actions
Intentionally providing false information, covering up rule violations, or harassing members: Immediate removal from the Watcher role.

Shadow Watchers (Moderators), have an important responsibility: to maintain a safe, fair, and welcoming community. This includes
Acting responsibly and respectfully toward all members.
Providing clear justifications for all actions when requested.
Keeping communication professional — avoiding inappropriate language, or arguments with members that could harm the community’s atmosphere.
Enforcing server rules fairly and consistently.
Consequences for failing to provide justification depend on the type of action and are designed to be progressive. There are no second chances for severe actions, as expectations are clear from the start.
⚠️ Note: “Moderator privileges” include all moderation powers and the 25% discount on merchandise. Losing privileges temporarily or permanently means losing the discount during that period.
Minor Actions
Warnings: Failure to justify a warning → 3 days without moderator privileges.
Timeouts: Failure to justify a timeout → 1 week without moderator privileges.
Moderate Actions (Kicks)
First offense: 1 month without moderator privileges. But still in the server
Second offense: 3 months without moderator privileges. But still in the server
Third offense: Permanent removal from the moderation team. But still in the server
⚠️ Kicks are considered moderate because the affected member can rejoin the server.
Severe Actions (Bans)
Failure to justify a ban is considered a severe violation, as the member cannot rejoin until unbanned but to make it fair it will be dynamic banning e.g. a mod bans a member for 1 week without justifying the mod gets 1 week ban or if its a permanent ban then perm ban policy will be used on the mod, ideally give a reason before confirming the ban but mods can give a reason after the consequence is set.
Result: Immediate ban equivalent to the member's temporary ban.

Appeal System – The Vault’s Judgment (Updated)
“Even the shadows of the Vault may err. Citizens who feel wronged by a ban or mute may bring their case before impartial keepers, but the system demands patience, evidence, and respect.”
1. Eligibility
Only members who have received a long ban or mute for example 5+ days, may submit an appeal. The reason for that is to only get serious and long punishments dealt with and it’s enforced by delaying appeals for 5 days, and the punishments that are less than 5 days would have expired by day 5. In cases where the punishment is 6 days then the member can either serve the punishment then once the punishment is done they can report if they believe that the punishment is unfair or appeal even though there’s only a day left to their punishment.
Appeals must include reasoning and confirmation of evidence availability.
2. Appeal Submission Form
Members must answer the following:
What was the reason for your ban/mute? (Short Paragraph)
Do you understand the server rules you broke? (Checkbox)
Do you have evidence to support your appeal? (Checkbox – YES required)
Why do you believe your punishment should be lifted? (Long Paragraph)
Will you follow the rules moving forward? (Checkbox)
Vaultverse-style reminder:
“The Vault hears your plea, but it demands honesty. Only those who answer with truth, understanding, and commitment shall find their sentence reviewed. Misuse of this process will not be tolerated.”
3. Evidence Submission Workflow
Only appeals with ‘Yes’ to evidence are eligible for review.
If confirmed, the member is temporarily unbanned and given a special role:
Can only access one designated chat channel and VC
Must provide their evidence here for staff review
Once evidence is verified and the appeal is decided, the special role is removed, restoring normal access (or leaving the ban if rejected).
4. Review Process
Appeals reviewed by a Shadow Watcher, Gravekeeper, or Vault Architect not involved in the original action.
Staff examine evidence (logs, screenshots, recordings, or live verification in VC).
Decisions are made based on rule-based justification.
If a member selects “Yes” to “Do you have evidence for your claim(s)” but is unable to provide any relevant evidence when requested, their punishment will be extended: temporary bans will be extended by 1 week including the long temporary bans, mutes will be extended by 3 days, and permanent bans will remain unchanged.
Providing evidence that is weak, unclear, or not in the member’s favor will not result in any extension of the punishment. However, falsely claiming to have evidence and failing to provide any when requested will result in an extension of the punishment.
Relevant Evidence: Any proof that directly relates to the reported incident or appeal and helps confirm or dispute the claim being made. This may include logs, screenshots, screen recordings, or live verification, provided they clearly show the context and are not altered or misleading. Evidence that is unrelated to the incident will not be considered relevant.
5. Decision & Cooldown
Appeal Upheld:
Punishment is reduced or reversed
Member is notified
Appeal Rejected:
Original punishment stands
Cooldown: Member cannot appeal the same incident for 14 days
Malicious or repeated appeals:
Escalation per Troll Prevention & False Accusation Policy
6. Documentation
All appeals, outcomes, and reasoning are logged for transparency and accountability.
How to Resign from a Role
Moderators, Gravekeepers, and Vault Architects may step down from their roles at any time. To resign responsibly and ensure a smooth transition:
Create a Resignation Ticket: Open a ticket in the designated “Resign from a Role” channel. This formally notifies the NIGHTMARE PRINCE of your decision.
Provide a Brief Explanation: In the ticket, include a short reason for your resignation and any ongoing tasks or responsibilities that need attention.
Handover Responsibilities: Clearly outline any active duties, technical tasks, or investigations. Ensure sensitive information or permissions are passed to other trusted staff.
Accountability Reminder: Leaving a role does not remove accountability for any actions taken while in the position. Previous misuse of privileges may still be reviewed.
Final Steps: Once your resignation is processed, access to restricted channels, administrative tools, or sensitive server data will be revoked.
⚠️ Note: Using the ticket system ensures resignations are tracked, organized, and transparent, helping maintain the integrity and stability of the Vaultverse.

Temporary ban policy: "To defy the Vault once may be forgiven, but each repeated offence deepens the shadow upon your soul — the years themselves shall bind you, until on the fifth, mercy is lost and exile becomes eternal. The Vault watches, and it does not forget."
